PRIVACY POLICY

Overview
LSA Assignment Monitor is a private workflow application operated by Edwin Padilla Pérez, an authorized administrator of trinityincoficial.com. The application assists an authorized Spanish-language interpreter with reviewing assignment-offer emails received from Language Services Associates (“LSA”), checking scheduling conflicts, and, when specifically enabled, responding to eligible offers.
The application is not offered for general public use.
Google Account Data Accessed
LSA Assignment Monitor uses Google OAuth and the Gmail API to:
• Detect newly received Gmail messages.
• Read new Inbox messages to determine whether they are LSA assignment offers or confirmations.
• Extract relevant assignment information from matching LSA messages.
• Send status and processing notifications to the authorized user.
• Maintain the Gmail notification subscription required for timely processing.
The application may temporarily retrieve a newly received message to determine whether it matches the configured LSA sender and subject. Messages unrelated to the LSA workflow are not stored or used for any other purpose.
Information Processed and Stored
For matching LSA assignment messages, the application may process and store limited scheduling information, including:
• Assignment number.
• Language and assignment type.
• Date, start time, end time, and estimated duration.
• Client or facility name.
• Assignment location.
• Eligibility, acceptance, confirmation, or skipped status.
• Processing timestamps.
• Gmail watch history and expiration information.
The application does not intentionally store complete Gmail message bodies or the content of unrelated emails. OAuth credentials and application secrets are stored securely using Google Cloud Secret Manager.
How Information Is Used
Information is used exclusively to:
• Identify Spanish, onsite, nonlegal LSA assignment offers.
• Exclude virtual, remote, legal, court-related, incomplete, or ambiguous offers.
• Detect schedule overlaps and enforce the configured minimum time between assignments.
• Prevent duplicate processing.
• Send processing notifications to the authorized user.
• Follow a verified LSA acceptance link only when live acceptance is expressly enabled and every eligibility rule is satisfied.
The application never uses an LSA decline link.
Sharing and Disclosure
Google user data is not sold, rented, used for advertising, or shared with data brokers.
Information is processed through Google services necessary to operate the application, including Gmail API, Google Cloud Run, Google Cloud Pub/Sub, Google Cloud Firestore, Google Cloud Scheduler, and Google Cloud Secret Manager.
When live acceptance is enabled, the application may send a request to LSA’s verified assignment-acceptance URL for an eligible offer. No other third party receives Google user data except when legally required or necessary to protect the security and integrity of the service.
Data Protection
Reasonable technical safeguards are used to protect information, including:
• OAuth-based authorization.
• Restricted Cloud Run access.
• Identity and access management controls.
• Encrypted Google Cloud services.
• Secret Manager for credentials.
• Validation of LSA acceptance domains and links.
• Conservative processing rules that skip uncertain assignments.
Data Retention and Deletion
Assignment scheduling records may be retained while the application is active because they are needed to identify conflicts with future assignments. Operational logs may be retained according to the configured Google Cloud retention settings.
Stored application records and OAuth credentials may be deleted when the application is discontinued or when the authorized user requests deletion. The authorized user can also revoke the application’s Google Account access through Google Account security settings.
Google API Limited Use
LSA Assignment Monitor’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Changes to This Policy
This Privacy Policy may be updated if the application’s functionality, data practices, or legal requirements change. The effective date displayed above will be updated when material changes are made.
